Primary Responsibilities:
The Executive Administrative Assistant (EA) provides high-level operational, administrative, and coordination support to the Founder & Chief Advocate, ensuring that the NGO and law firm run efficiently and strategically. The EA serves as the operational glue across teams, managing schedules, communications, and cross-functional workflows. The role requires advanced proficiency in office, legal, marketing, and project management software to support program execution, membership operations, and immigration casework.
Key Responsibilities:
Executive Support-Founder & Chief Advocate
- Manage calendars, appointments, and meetings for the Founder.
- Prepare briefing notes, meeting agendas, and follow-up action items.
- Draft, review, and respond to high-priority emails and correspondence.
- Track deadlines, confirm commitments, and ensure Founder preparedness.
- Arrange travel, accommodations, and virtual meetings.
- Maintain confidentiality and handle sensitive communications.
Cross-Functional Team Support
- Coordinate schedules, appointments, and travel for Membership Director, IT/Operations Lead, Immigration Case Worker, and Client Care Coordinator.
- Assist with overflow tasks for Immigration Case Worker and Client Care Coordinator during peak periods.
- Support Membership Director with program logistics, intake tracking, and reporting.
- Serve as liaison between teams and Founder, ensuring operational alignment.
Office, Workflow, & Project Management
- Maintain electronic filing, CRM, and case tracking systems.
- Generate reports, dashboards, and spreadsheets for leadership review.
- Track program progress and project milestones across multiple team members.
- Maintain compliance with organizational standards for confidentiality and data handling.
- Monitor software and tools to ensure operational efficiency.
Communication & Stakeholder Liaison
- Act as first point of contact for high-level client inquiries or escalations.
- Facilitate professional internal and external communications.
- Support newsletters, program updates, and member communications.
- Enhance client/member experience through responsive, professional interaction.
Technical Skills & Tools:
- Office & Productivity: Microsoft Office 365 (Word, Excel, PowerPoint, Outlook), Google Workspace
- Legal/CRM Systems: Clio, Lawmatics
- Virtual Collaboration: Zoom, Microsoft Teams, Google Meet
- Project & Workflow Management: Notion, Motion, other project management apps
- Marketing & Member Engagement: Constant Contact, Canva
- Data & Reporting: Excel (advanced), dashboards, internal reporting tools
Required Qualifications:
- 3–5 years EA experience minimum
- Experience supporting senior leadership
- Comfortable in legal or regulated environment
- Strong systems thinker
- Independent operator
- Professional presence
Job Type: Full-time
Pay: 65.00DH per hour
Expected hours: 40 per week
